KBR is looking for an Administrative Specialist is an administrative position supporting the project team at the site. This is a clerical position where attention to detail, being a team player, poise, and computer skills are all important.

This position normally applies to large projects or to sites with a high workload of small and minor projects.

Functional job responsibilities will include but are not limited to:

  • Schedule ad-hoc meetings as assigned, coordinating with client and external resources to find convenient times.
  • Take notes during meetings, routine and ad-hoc, noting any decisions, follow-up items, etc. Publish notes and add any follow-up items to the project action list with person responsible and expected completion date.
  • Follow-up on project action list toward timely completion of items, review with CM and PM weekly. Get their agreement prior to moving items off list.
  • Manage drawings and specifications.
  • Ensure documents-in-use in the construction trailer are the most current. Replace pages with updates as needed.
  • Periodically audit documents-in-use by contractors to confirm they have the correct version/date.
  • Track and manage owner furnished materials/equipment
  • Expediting: Contact vendors to ensure delivery schedules are maintained. Obtain shipping information from vendor and track through delivery.
  • Coordinating: Inform CM in advance of equipment delivery so they can plan accordingly. Follow-up with others as directed by CM.
  • Receiving: Record when equipment is received, obtain and document the manufacturer, model, serial number. Photos are helpful. Compare item to the PO and note any obvious issues, then solicit confirmation from CM and related contractor that equipment is correct (as ordered), complete, and free from damage. Follow-up with vendor on any issues.
  • Inventory: If not handed over to installing contractor immediately, track where stored and ensure it’s safe and secure until turned over to an installing contractor. Enter turnover info.
  • Manage schedule and documents for quality checks of all incoming materials (client and contractor purchased)
  • Get weekly update from contractors on upcoming deliveries of equipment and materials.
  • Pull related specification or submittal for use in quality check.
  • Solicit quality check from both CM (or designate) and installing contractor.
  • Manage Field Contract Requests submitted by installing contractors, CM approval first, then PM. Keep tally for each PO against Extra Work Allowance and note approved FCR’s. Weekly publish list of pending/approved/rejected FCR’s without cost column to broader team.
  • Assist in management of submittals, request coordinate with staff and bring update to weekly mtg.
  • Manage Requests for Information, report weekly.
  • Provide administrative support to project team as needed.
  • Arrange schedules, greet visitors, and assists project team as needed.
  • Orders supplies.
  • Other tasks as assigned.

Required Education, Experience, & Skills

  • High School diploma with 3-5 yrs. of administrative experience.
  • Natural planner organizer with outstanding attention to detail.
  • Some familiarity with capital projects, project procedures, and practices is desirable.
  • Very proficient with MS Office: Outlook, Word, Excel, and PowerPoint.
  • Good written and verbal skills.
  • Team player.
  • Flexible.
  • Independent / motivated.
