Looking for bookkeeper for Green Fields Private School

Duties

General Accounting
? Day-to-Day financial duties
? Create, maintain Chart of Accounts
? Conduct Month, Quarter, and Annual End closures. Create corresponding reports
? Reconcile bank accounts and credit card accounts
? Work efficiently with vendors and staff
? Perform backup for each company
Accounts Receivable
? Enter tuition revenue, customer payments, donations in accounting software
? Create deposits (copy checks for deposit backup), must be reviewed and initialed by Office
Manager, Make deposits at appropriate banks.
? Reconcile accounts as needed
? Maintain A/R files
Accounts Payable
? Receive approved invoices via mail, email. or in person
? Enter in accounting software, print check, checks must be approved and signed by the
Headmaster, distribute checks
? Reconcile accounts as needed
? Reconcile vendor statements to actual payments
? Maintain A/P vendor files
Human Resources
? Shared responsibilities with Office Manager
? Attend interviews when requested
? Keep updated new hire packets
? Enter new hires, and employee changes in payroll software, retirement software
? Prepare spreadsheet for new FY raises for Headmaster's approval
? Update employee contracts each July
? Maintain HR files
Payroll
? Create calendar of payroll dates each June for FY starting July 1
? Payroll is paid the 15th and 30th (or the business day before if fall on a weekend)
? Generate hourly staff reports from time clock software
? Verify hourly/salaried staff amounts each pay period using payroll software.
? Prepare and submit payroll on time
? Receive and distribute payroll checks/stubs, give to POCs for staff delivery
? Create Excel spreadsheet each pay periods with breakdown of salaries. taxes and benefit
amounts
? Maintain employee?s 401(k)
? Maintain payroll files for inquiries
Tax Returns
? Form 990 is due for both 501(c)(3)s 5.5 months after the end of each fiscal year( 6/30)
? Form 990 must be filed by November 15 (can be automatically extended to May 15)
