Position Summary

The Donor Database Manager is an essential advisor to the Chief Philanthropy Officer (CPO), supporting the effective identification, cultivation, solicitation, and stewardship of donors. This role is responsible for the donor and volunteer database: entering gifts and data; monitoring and maintaining data health; supporting integrations; creating and monitoring automations; and developing and updating dashboards and reports. The Donor Database Manager will also work closely with the CPO to identify opportunities to optimize data-related processes and to propose and implement solutions.


As part of the Philanthropy team, this role is expected to provide excellent customer service when responding to internal and external inquiries while maintaining the highest level of data integrity and security and exercise good independent judgment.

Essential Duties and Responsibilities

Database Management (60%)
  • Independently manage all front- and back-end elements of the donor and volunteer database (Salesforce NPSP) such as:
  • Accurately process and record donations; provide timely acknowledgment of gifts.
  • Perform regular data entry and clean up tasks, ensuring accurate, unduplicated, and comprehensive records of donor and volunteer information, gifts, and interactions.
  • Ensure donor preferences and special requests are recorded and retrievable.
  • Support prospect research and wealth screening efforts.
  • Help maintain foundation and corporate records such as grant deadlines, deliverables, and customized acknowledgements.
  • Optimize the database, suggesting process improvements and implementing streamlined workflows.
  • Ensure functionality of integrated apps and add-ons (ex: HubSpot).
  • Build, maintain, and troubleshoot workflow automations.
  • Serve as the resident expert and primary point of contact for database-related inquiries and troubleshooting.
  • Conduct regular data hygiene and quality checks to ensure data integrity and adherence to data protection and privacy regulations.
  • Develop written protocols.
Reporting and Analytics (20%)
  • Generate regular reports and data analyses of fundraising and volunteer activities, donor trends, and campaign performance.
  • Develop dashboards to support specific fundraising goals and proactively monitor accuracy of information.
  • Collaborate with Philanthropy Associate to identify middle/major donor prospects; create custom profiles as requested.
  • Provide required reports to the business office and assist in reconciliation.
  • Partner with CEO and CPO to provide data and visual representations of data for use in internal and external reporting.
  • Supply visual representations of data for meeting briefings, slide decks, and other materials.
Donor and Volunteer Relations (10%)
  • Coordinate and execute timely and personalized donor acknowledgments, including thank-you letters, tax receipts, and other forms of recognition.
  • Respond to general donor inquiries.
  • Support data-driven campaigns, ranging from providing analytics to segmented mailing lists.
  • Collaborate with Philanthropy Associate to support the volunteer and in-kind donation programs.
Team Support (10%)
  • Actively develop improved database processes and workflow automations to support team activities such as major gifts, events, volunteer coordination, and institutional giving.
  • Manage vendor contracts, relationships, and projects for Salesforce and its integrated applications.
  • Prepare financial data and donor lists for the Annual Report.
  • Train and support team members on the effective use of the database.
  • Drive own or agency vehicle to the field and to other program sites, as required; documenting and reporting mileage according to agency procedures, so that services can be provided in a timely manner; comply with agency driving policy at all times.
  • Participate in promoting a safe, healthy, and clean working environment consistent with agency's health and safety practices.
  • Attend and participate in all meetings and trainings as assigned.
  • Complete and submit timesheets in a timely and accurate manner.
  • Work within the framework of Insight Housing's Code of Conduct.
  • Perform other tasks as assigned.
Qualifications, Skills, and Abilities
  • Bachelor's degree in data science, engineering, or equivalent combination of education, training, and experience.
  • 5+ years database management experience and a minimum of 2 years with Salesforce. Salesforce NPSP, highly preferred.
  • Commitment to serving individuals experiencing homelessness, alcohol and drug dependency, and other mental health issues and to trauma-informed approach to care of individuals.
  • Expert-level proficiency in Microsoft Excel or a similar data editing and visualization tool. Ability to learn and master new software.
  • Highly analytical and organized, with impeccable attention to detail.
  • Excellent verbal and written communication skills, along with the ability to communicate complex technical matters effectively.
  • Ability to prioritize and apply critical thinking to manage multiple tasks and projects with a commitment to accuracy and meeting deadlines.
  • Ability to interact in a supportive and professional manner with staff and clients of diverse cultural and economic backgrounds.
  • Display commitment, tact, transparency, and diplomacy when interacting with others.
  • Possess a high level of initiative, flexibility, and the proven ability to work both independently and collaboratively.
  • Familiarity with fundraising and donor relations principles, practices, and ethical standards.
  • Ability to work with minimal supervision, multitask, maintain confidentiality and appropriate professional boundaries, and meet deadlines.
  • Ability to maintain professional conduct, attitude, and appearance at all times.
Special Requirements
  • This position requires occasional driving. A valid California driver license, reliable personal vehicle, current personal auto insurance as required by law, and an MVR sufficient to obtain and reasonably maintain insurability under agency auto liability policies.
  • Must be able to receive and maintain criminal records clearance.
