Position Summary:

We are seeking a highly organized and customer-focused HVAC Service Coordinator to join our mechanical contracting team. This role is pivotal in ensuring the smooth operation of our service department by coordinating HVAC service calls, managing technician schedules, and maintaining strong communication with clients and internal teams.

Key Responsibilities:

• Service Scheduling & Dispatching
  • Coordinate and schedule HVAC service calls and preventive maintenance visits.
  • Dispatch technicians based on skill set, location, and availability.
  • Monitor job progress and adjust schedules as needed to meet deadlines.
• Customer Communication
  • Serve as the primary point of contact for service-related inquiries.
  • Provide timely updates to customers regarding service status, technician arrival times, and job completion.
  • Handle customer complaints and escalate issues when necessary.
• Administrative Support
  • Maintain accurate service records, work orders, and customer files.
  • Process service reports, invoices, and warranty claims.
  • Assist in preparing service proposals and quotes.
• Team Collaboration
  • Work closely with service technicians, sales staff, and project managers to ensure seamless service delivery.
  • Support inventory management by tracking parts usage and coordinating orders.
• Compliance & Safety
  • Ensure all service activities comply with company policies, safety standards, and industry regulations.
  • Maintain confidentiality of customer and company information.

Qualifications:

• High school diploma or equivalent; associate degree or technical training .
• 2+ years of experience in HVAC service coordination or a similar role in the mechanical contracting industry.
• Strong knowledge of HVAC systems and terminology.
• Proficiency in scheduling software and Microsoft Office Suite.
• Excellent communication, organizational, and multitasking skills.
• Ability to thrive in a fast-paced, customer-focused environment.

Skills:

• Experience with service management software (e.g., BuildOps & Sage Paperless).
• Familiarity with union labor coordination (if applicable).
