Job Title: Part-time Assistant to Chief Financial Officer (CFO)

Job Summary: We are seeking an onsite part-time (up to 25 hours per week) detail-oriented and highly organized administrative assistant to manage office operations and financial tasks This role is essential for supporting the company’s operations, ensuring efficiency, and maintaining financial accuracy. The ideal candidate must have 10 plus years handling accounting as well as a variety of administrative duties, that ensures a smooth office workflow while maintaining accurate financial records.

  • Provide administrative support to CFO, which includes annual filings, preparing reports and assisting with special projects.
  • Serve as the primary point of contact for office-related inquiries and administrative tasks.
  • Handle sensitive data with confidentiality and ensure compliance with company policies
  • Must be very familiar with Annual Reports, BOI E-Filing, setting up tax identification numbers (EIN), 1099's, SS-4's and filing services such as Sunbiz.org.
  • Must have Desktop QuickBooks experience to maintain accurate financial records.
  • Submit Monthly and Quarterly Sales Tax.
  • Reconcile expense reports.
  • Maintain records, databases, and filing systems for efficient document retrieval and data management.
  • Pull monthly bank statements and deposit checks using digital check scanner.
  • Manage vendor relationships, arrange appointments with contractors for A/C, plumbing, electric, etc.
  • Sort mail/email and forward to corresponding offices, ordering supplies, preparing FedEx outgoing labels.
  • Must be proficient using a PC and MS Word and Excel.
  • Must have 10 years of accounting experience.
