THE ROLE

The Jade Media Global Traveling Personal Assistant & Lifestyle Manager position is multifaceted requiring the highest levels of organization, focus, productivity, proactivity and enthusiasm. A self-motivated, confident solutions-finder with a heart for servant leadership and a knack for being 10 steps ahead will find themselves well-equipped. The selected candidate hits the ground running, must be a fast-learner, able to accurately take instruction on the first time, adept at filling in the blanks and a stickler for detail and excellence of execution. They must be able to create and track their own systems. As Jade Simmons personal and travel assistant they will deal majorly with day-to-day correspondence, scheduling, liaising with the JMG team, and handling some logistical servicing of upcoming engagements. Frequently, the Executive PA covers personal requests, both professional and domestic, and acts as concierge at home and on the road. This role reports to Jade Simmons and the COO and is an Independent Contractor role.

PRIMARY TASKS AND RESPONSIBILITIES

• Keeper of the Master Schedule and Deadline Management: The Traveling Personal Assistant & Lifestyle Manager works to ensure there are no conflicts between Jade Simmons speaking engagements, travel, coaching appointments, other Jade Media Global engagements and personal appointments. The selected candidate will work to maintain requested free space and contain appointments to specified time frames as dictated by Jade Simmons. They will also work to help track and manage project deadlines for Jade Simmons.
• Personal & Travel Attendant: An all-important aspect of this position is to travel with Jade to events and engagements, from local to worldwide. They are responsible for some event logistics, flight/ground transportation booking and coordination, liaising with the client for event management purposes, itinerary and expense report creation, as well as some driving when necessary. The selected candidate also assists with some packing, meal planning, and scheduling recreational activities when requested. The Traveling Personal Assistant & Lifestyle Manager covers personal requests that may range from work to home and family assistance for Jade Simmons. Tracking and recording expenses and itinerary creation is an important part of this task.
• On-Site Management: At JMG Events and Engagements, in addition to assisting Jade Simmons on location, the Traveling Personal Assistant & Lifestyle Manager serves as the primary liaison with on-site personnel; not limited to bureau representatives, event planners, client representatives, special guests of Jade, and outside vendors (beauty team, media team) as hired by JMG. The Traveling Personal Assistant & Lifestyle Manager may assist with the cartage of Jades personal equipment set-up and break-down, interacts with client representatives and participates in the management of on-site merchandise sales when necessary. This may include the coordination of on-site volunteers to help with sales and merchandise set-up.
• Communications Liaison: The Traveling Personal Assistant & Lifestyle Manager will be the first point of contact between Jade Simmons and her team, all of her agents, contractors, clients and all general correspondence. They are the manager of email and a second set of eyes on all internal communications platforms (Slack, Asana, etc.) to ensure Jade is responding swiftly to the needs of her team.
• Executive Administrative Support: The Traveling Personal Assistant & Lifestyle Manager will provide administrative support to the CEO (Jade Simmons) and COO, including but not limited to: correspondence, email management, systems maintenance, file & organization, accounts receivable and payables, etc.
• All other duties as assigned

PROFESSIONAL QUALIFICATIONS

• 5+ years as a traveling assistant and lifestyle/project manager

REQUIRED SKILLS / ABILITIES:

• Must be flexible to work regular business hours, some weekends and evenings required. Travel is REQUIRED.
• Adept at writing for professional purposes
• Fluid with Apple Computing Products and Programs
• Fluid in Microsoft 365, Outlook Email + Calendar, and Microsoft products
• Comfortable working in Kajabi or Passion.io Online Course platform
• Familiar with completing Expense Reports & creating itineraries.
• Comfortable with basic social media tasks for Facebook, Twitter, Instagram, and TikTok
• Comfortable with basic graphic creation using Canva.
• Adept at finding/using apps and digital systems to enhance workflow, including Asana, Slack, and Salesforce.

The Traveling Personal Assistant & Lifestyle Managerwill be privy to sensitive and confidential personal, professional, and financial information. A signed non-disclosure agreement is required.

OTHER COVERED EXPENSES

• All airfare, ground transportation, meal stipend and hotel expenses related to Jade Media Global travel is covered by the company
