Role Summary

We are seeking a highly skilled and professional Executive Assistant to provide comprehensive administrative and strategic support to our senior leadership team. This is a critical role that requires a proactive, organized, and resourceful individual who can manage the complex demands of a fast-paced executive office. The ideal candidate will serve as a trusted partner to our executives, enabling them to focus on strategic priorities by flawlessly managing administrative operations and contributing to key initiatives. You will be the central point of contact and the organizational backbone of the executive team.

Key Responsibilities
  • Meeting and Event Coordination: Plan, organize, and execute a wide range of meetings and events, from executive team meetings and off-site retreats to company-wide functions. This includes managing logistics, coordinating with vendors, preparing materials, and ensuring A/V setups run smoothly.

 

  • Strategic Planning and Execution: Assist executives in developing and executing strategic plans. Help identify key priorities, monitor progress on critical initiatives, and ensure deadlines are met by tracking action items and following up with stakeholders.

 

  • Communication and Gatekeeping: Act as a professional and effective liaison between the executive and internal staff, clients, and external partners. Screen and prioritize incoming communications, redirecting or handling them as appropriate to protect the executive’s time and focus.

 

  • Document and Presentation Preparation: Draft, proofread, and format professional correspondence, reports, and high-impact presentations. Handle confidential information with the utmost discretion and prepare materials for board meetings and other high-level engagements.

 

  • Project Management: Take ownership of ad-hoc projects on behalf of the executive. Manage project timelines, coordinate resources, and see initiatives through to successful completion.

 

  • Calendar and Schedule Management: Expertly manage and maintain complex and dynamic calendars for senior executives. Proactively schedule appointments, resolve scheduling conflicts, and ensure the executive's time is optimized for strategic activities.

 

  • Travel Coordination: Arrange and manage all aspects of domestic and international travel, including flights, ground transportation, accommodations, and detailed itineraries. Ensure travel is seamless, efficient, and well-documented.

 

  • Information Management: Conduct research, gather and analyze information, and maintain organized, confidential files and records. Ensure the executive has the necessary information to make informed decisions.

Requirements and Skills:
  • Experience: A minimum of two years of professional experience as an Executive Assistant, preferably in the Real Estate or Construction industry.

  • Exceptional Communication: Superior written and verbal communication skills are essential for drafting professional documents, liaising with stakeholders at all levels, and representing the executive office with polish and clarity.

  • Team Mindset: Prioritizes protection of the team company culture. Believes (and implements) that the best idea in the room wins, even if it’s not yours.

  • Time Management and Organization: Proven ability to manage multiple complex projects and competing priorities simultaneously. You must be highly organized, detail-oriented, and capable of keeping everything running on schedule in a dynamic environment.

  • Discretion and Professionalism: This role requires handling highly sensitive and confidential information. You must consistently exercise sound judgment, integrity, and a high degree of professionalism.

  • Technical Proficiency: Strong command of office productivity software (e.g., Microsoft Office Suite, Google Workspace), advanced scheduling tools, and other relevant technologies. Ability to quickly learn new software and tools.

  • Strategic Thinking: The ability to anticipate needs, identify potential challenges, and proactively solve problems. This role goes beyond administrative tasks to contribute meaningfully to strategic planning and execution.

  • Interpersonal Skills: Excellent interpersonal skills with the ability to build rapport and work effectively with a wide range of personalities, both internally and externally. A collaborative and team-oriented mindset is crucial for success.
